Manage your profile and workspace memberships
Your omotto account is your personal login. A workspace is one business’s separate working area; the membership screen calls workspaces Organizations. One account can belong to several workspaces, with different permissions in each.
How it works
Section titled “How it works”Your name, sign-in email and personal language and time-zone preferences belong to your account. You do not need a separate login for each business that invites you.
These personal settings are different from workspace settings, which affect the business. Changing your profile name does not rename the business. Changing your interface language does not set the customer bot’s language. Changing your personal time zone does not change the workspace’s opening-hours schedule.
Active memberships lists workspaces you have joined, with the business name and your role in each. Pending invitations lists invitations you have not accepted or declined. An invitation alone does not give you access to the workspace.
Where to find it
Section titled “Where to find it”Open your initials/avatar menu, then My account → Profile for personal details or My account → Organizations for memberships. The workspace selector shows the current business’s name in the sidebar or top bar, depending on your layout.
Set it up
Section titled “Set it up”Update your profile
Section titled “Update your profile”- Open Profile as described above.
- Edit Name.
- Choose your Locale.
- Choose your Time zone.
- Let the automatic save finish before moving on.
These three fields save automatically; there is no separate Save button. Email changes use the explicit confirmation process below.
Switch to another workspace
Section titled “Switch to another workspace”- Open the workspace selector.
- Choose the intended workspace under Your organizations.
- Check the business name before editing or sending anything.
Only workspaces you have already joined are offered. With only one workspace, the selector is just a label rather than a list. Switching normally opens the equivalent section in the new workspace, not the previous workspace’s individual record. If that section is unavailable to you there, omotto returns to the new workspace’s Home.
Accept or decline an invitation
Section titled “Accept or decline an invitation”- Open Organizations.
- Find the business under Pending invitations.
- Check Expires, if a date is shown.
- Choose Accept to join, or Decline if you do not want to join.
Accepting makes that workspace your current workspace. You may first be asked to finish your account details, confirm your email or set up two-step sign-in if the business requires it. An expired or withdrawn invitation cannot be accepted; ask the person who invited you to send a new one. Declining removes the pending invitation without joining the business.
When you have pending invitations, your avatar menu also offers Pending invitations as a shortcut. Opening an invitation’s email link while already signed in with the invited, confirmed and fully set-up account can accept it immediately; an extra Accept click is not always required.
Change your sign-in email
Section titled “Change your sign-in email”- Enter the new address in Sign-in email.
- Click Request email change.
- Check the new address’s inbox for the confirmation email.
- Follow its confirmation link.
The change takes effect only after confirmation. Until then, keep using your old address to sign in. omotto also sends a change-request notice to the old address. The Confirmation pending notice shows the proposed address, so check it for typing mistakes.
If you entered the wrong address, choose Cancel pending change, then submit the correct one. Use Resend confirmation if the address is correct but you cannot find the email. A blank address or the same address as your current one does not start a change; an address already used by another account is rejected.
Settings
Section titled “Settings”| Setting or control | What it does | Starting value or fallback |
|---|---|---|
| Name | The personal name shown in the app and to your teammates. It applies wherever you use this account. Required; cannot be blank and must be no longer than 100 characters. | Your current account name. |
| Locale | The language of your omotto interface: Hebrew, English, or Use organization default. | With no personal choice, the selector shows Use organization default. See the language note below. |
| Time zone | Your personal zone for displaying times in the app. Choose a named zone, or Use organization default. | Without a personal choice, uses the current workspace’s zone, then omotto’s default if the workspace has none. |
| Sign-in email | The address used to sign in to this account, across its workspaces. | Your current confirmed address remains in use until you confirm a new one. |
| Request email change | Submits the address entered above and sends a confirmation link. This does not save automatically. | No change is pending until you request one. |
| Resend confirmation | Sends the pending address another confirmation email. Appears under Confirmation pending. | Available only while a change is pending. |
| Cancel pending change | Cancels the requested email change and makes its confirmation link unusable. | Your existing address stays unchanged. |
What “Use organization default” means for language
Section titled “What “Use organization default” means for language”Choosing Hebrew or English sets a personal preference that takes priority when you change workspaces.
Use organization default removes that personal preference. Despite the label, omotto can still use a language selected for the visit, a remembered language or your browser’s language before falling back to the workspace language and then omotto’s default. If you need one predictable interface language in every workspace, choose Hebrew or English explicitly.
For time zone, Use organization default follows the workspace’s zone. It does not use the browser-language choice. Keep business schedules in workspace settings and location opening hours, rather than trying to change them through your profile.
Usage analytics, if shown
Section titled “Usage analytics, if shown”Usage analytics is an optional profile card about helping improve omotto. It is separate from your business’s customer-outcome analytics.
The card says whether usage analytics is on or off for your account in this browser, and offers one button:
- Allow analytics turns usage analytics on in this browser. This can include recordings that replay how you move through omotto, and heatmaps that show where people click and scroll.
- Turn off analytics turns it off again.
- Until you allow it, usage analytics stays off.
Not every visit is recorded: recording follows omotto’s sampling and recording rules. Form inputs are masked in recordings. Customer content in the Inbox and protected security content are also masked or hidden before recording data is sent.
You can change this choice in the same card at any time. It applies to your account on this browser, not to all devices or everyone in the workspace. Another browser may ask again, and so may another account signed in on the same browser. A choice made before this change was browser-wide and is not carried over, so you may be asked once more. The card is not shown while a support person is viewing omotto as you. When usage analytics is unavailable, the card only appears if you had turned it on, so you can still turn it off.
What happens when…
Section titled “What happens when…”You leave a workspace
Section titled “You leave a workspace”In Organizations, find it under Active memberships, choose Leave, then confirm. You lose access to that workspace; this does not delete your personal account or the business. Other workspace memberships remain. If you left the current workspace, omotto selects another active workspace if one is available.
You cannot leave as the last active owner. Have another teammate made an owner first; an invitation that has not been accepted is not enough. See team membership and roles. If you are the only active member, leaving is also blocked. If your intent is to close the business workspace, ask its owner about workspace deletion instead.
Leaving is different from deleting your personal account. Do not use account deletion just to leave one business. Connected agents acting as you also lose access to a workspace when your membership ends.
You switch while other tabs are open
Section titled “You switch while other tabs are open”The active workspace is shared across your account, not kept separately for each tab. An old tab can still show a page from the previous business. If a warning offers Continue in…, use it before continuing work. Do not assume two tabs keep two businesses independently active.
A link belongs to another workspace
Section titled “A link belongs to another workspace”A shared link may show Open in… with the intended business and Stay in… with the current one. Choose Open in… only if that is the workspace you intend to use.
This offer appears only when the link identifies another workspace you actively belong to. It does not grant access or search other businesses for the record. Without an offer, use the workspace selector yourself and reopen the original link. Page not available can also mean the item is gone or unavailable to you; switching cannot restore a deleted item or bypass permissions.
Troubleshooting
Section titled “Troubleshooting”- A workspace is missing from the selector. Check Pending invitations. If it is not there, confirm you signed in with the invited account and ask a workspace owner to check your membership.
- Your interface language did not follow the workspace. Choose a language explicitly, or review the language fallback note above. Use organization default is not a guarantee that browser language is ignored.
- Displayed times seem wrong. Check your personal Time zone first. Ask the owner to check the workspace’s zone if you use the default.
- Your email has not changed. Read Confirmation pending, check the new inbox and its spam folder, then use Resend confirmation if needed. Cancel and restart if the proposed address is wrong.
- Leave is disabled or refused. Arrange another active owner first. If you are the only active member, review workspace closure rather than repeatedly trying Leave.
- You did not request an email change, or still cannot access your account. Follow account-security guidance and contact omotto support. Do not send anyone your password or confirmation links.
