Follow your bot's setup checklist

Setup shows your open setup checklist. It helps you and the Coach keep track of what your bot still needs before and after launch.

Going live is the last step of guided setup. The Coach waits while required setup in the pre-launch areas you chose is incomplete. Optional follow-up tasks do not delay the go-live card. Connecting a calendar is not enough: finish the booking details, or ask the Coach to defer or drop that work if you want to launch first. The Coach can then show the go-live card. Choosing a channel or connecting it never turns replies on by itself.

The checklist names the steps: Learn your business, Connect a channel, and Go live. Before your first launch, a step shows a check mark as soon as its saved requirements are met, the next time Setup reads your progress. You do not need to wait for a background checklist update. Older trackers keep their previous count.

During guided setup, the Coach strip counts required steps only. When your business details, knowledge and a channel are ready, replies are off and no knowledge import is still running, it can show Saved. Replies stay off until you switch them on instead. This is a safe place to stop, not confirmation that replies are on. Optional choices remain outside the count. Check the Home launch banner for reply status.

Under Your decisions, choose Set up now to continue in the Coach, Later to defer, or Not needed to decline. Later and Not needed save your decision immediately, without sending a message to the Coach. Suggested holds optional areas without adding them to the required count.

When the bot is on and a line can answer, the heading reads Your bot is live, even if you chose to launch with missing business details or knowledge. Those gaps appear under Recommended: with links where available, not as unfinished required progress. Going live does not fill in missing knowledge. If the required steps are done but the bot cannot answer yet, the heading reads Setup done: switch the bot on.

Tell the Coach what your business does and what you want the bot to achieve. The Coach proposes the steps that fit that goal. You decide what to include, skip or leave for later. The checklist reflects those decisions, rather than asking every business to set up every feature. This is your bot’s setup plan, not a paid subscription plan.

You may work on knowledge, location details, a customer channel such as WhatsApp, or who handles questions the bot passes to your Support Team. The steps depend on your business. You can start a connection or knowledge import while discussing the plan; agreeing the plan is not a requirement for starting those tasks.

In new setup lists, omotto fills an unset customer language and time zone from your website, or from your browser once website reading has finished. If a website is on file but has not been read yet, browser defaults wait. The Coach tells you the choices once; ask to change them or use the settings. Saved choices are never replaced. If you clear or undo an automatic choice, it is not filled again during this setup. Phone country is never saved automatically. Its review card waits until a customer line is connected, even when language and time zone are already set. Older setup lists keep the review-first behavior.

Before your first launch, a Time zone and customer language card may appear in your setup conversation. It shows a source for each suggested value. You can edit the three choices, then select Save to save them together. Website suggestions take priority over browser hints. A phone region from the time zone is suggested only when that zone belongs to one country; otherwise choose it yourself. Reading or editing the card does not change your settings. Location details remain a separate setup item. If you change one of these settings elsewhere, including with the browser time-zone button, the old card is withdrawn. If time zone or customer language (or phone country in new setup lists) is still unset before your first launch, a replacement can appear when Setup checks again. It keeps your saved choices and suggests values only for the remaining blanks. A new hint for a still-blank field may produce another card, but a value already offered for that field in this setup is not offered again, including values you edited or dismissed. Some older setup lists keep the earlier one-off behavior when previous offer details are no longer available; choose the values in Workspace settings or the bot’s language settings if no new card appears.

During setup, The bot is waiting on you shows up to five open team questions. Select a question to open its private discussion in the Inbox. Resolved questions and rehearsal conversations are not shown. You need permission to view the Inbox to see these links.

A handoff can reach you through your enabled personal alerts or a selected team group; merely connecting a team channel is not enough. Questions from the bot have a separate team-channel route, so email handoff alerts do not mean questions reach you outside the app. Accounts created together with their first workspace can start with handoff email on only when no notification preferences are saved. Setup never changes preferences you already saved, even for another alert or with email left at its default off. Existing accounts keep their preferences. When offered, Send handoff alerts to [your email] enables email for that alert in one click without changing your other preferences. See notification preferences and team questions.

For an open website-chat setup step, Seen on your site confirms the installed code loaded on an allowed website. You can send or copy the installation steps to your website maintainer.

During setup, use What’s left in the launch card below the greeting on Home. The status pill at the top of every page opens Home with that panel expanded. See what’s left on Home opens the same panel, keeping one full checklist. When the launch banner does not apply to your workspace, the existing Setup card and top-of-screen panel remain unchanged.

While guided setup is active, you can also expand the setup strip above the Coach message box. If your filled business identity still needs approval, its missing-item row shows the same name, description and Confirm action there.

  1. Open Setup using either entry above.
  2. Read the open steps and any items under What’s left.
  3. If a business name and description are shown, review them.
  4. Choose Confirm when the details are correct, or Edit to change them in Workspace settings.
  5. Follow another linked item to its settings, or choose Open in the Coach to continue with the Coach.

Confirm records your approval without changing the displayed details. If the name or description changed since you saw it, Setup refreshes the details without confirming them. Review the updated text and select Confirm again. It requires permission to update Workspace settings. Edit is shown only when you have permission to view Workspace settings.

If you have Handbook access, Settings → Bot opens the Handbook. A checklist link for the bot’s purpose opens its goal row there; a missing customer language opens its identity row with the language control selected. The team-channel connection step opens Settings → Chat services → Team channel. Your permissions still decide which controls you can edit.

Some steps need a conversation rather than a setting. Those steps take you back to the Coach. Choose what to set up is where you discuss which steps fit your business.

A website import filled your business details

Section titled “A website import filled your business details”

Applying an import review fills the accepted details but does not confirm your business identity. Check the name and description in Setup and select Confirm. Each field uses your interface language when available, otherwise the other saved language. Confirming the business does not apply the separate region card or turn on customer replies.

Your plan adds steps or you leave something for later

Section titled “Your plan adds steps or you leave something for later”

Your plan added [count] steps explains why the checklist grew. A larger list does not mean saved work was lost. Tasks you chose to defer can appear under Later; select one to continue discussing it with the Coach. Deferred tasks remain separate; an owner decision can be resolved by choosing later. When required steps and all decisions are resolved, Setup closes. Your deferred decisions stay in a Later card on Home, even after Setup disappears from the top of the screen. Selecting a deferred task resumes it in the Coach with that task visible. A resumed decision can reopen Setup; optional follow-up work does not make the completed setup incomplete.

Not available to customers yet names files that still need attention, even if other knowledge is already usable. Follow an item to save its pending Coach card, finish processing, replace a blocked or unreadable file, or review its skill. These reminders do not prevent launch by themselves. During setup, Review [count] imported items counts only items still awaiting a decision and opens the Coach, where one summary card approves the retained import batch. See knowledge documents for how files become usable.

An import leaves the main location incomplete

Section titled “An import leaves the main location incomplete”

After an import has been applied during setup, a business marked as having a physical location can see Main location needs an address or Main location needs opening hours. The hours reminder also covers a schedule that has not been confirmed. Follow the link to check the main location’s address or hours. These are reminders, not extra launch requirements.

They do not appear for an online-only business or one whose physical presence has not been specified. They are also hidden if you chose to skip or defer the location-and-region setup task. Finishing an import is not proof that every location detail is complete.

A channel is connected but the bot is not live

Section titled “A channel is connected but the bot is not live”

Finishing a connection does not turn on customer replies. Try the bot in a rehearsal first, then use Turn on automatic replies in the Home launch card. If checks are missing, review them and choose Turn on or Not yet. No written reason is needed in this setup confirmation. The business-wide settings and Handbook setup entries open that same confirmation; they do not activate the bot merely by opening it. Outside this setup flow, the existing controls and reason form remain unchanged. See trying the bot and going live.

After a line connects, a proposal may appear in your setup conversation even before launch checks pass. Try it first opens Rehearsals, where you choose the write mode before starting. Use the shared Home confirmation for missing launch checks. What’s left separates the line needed for answers from business details, knowledge and optional setup, keeping each missing fact with its repair link rather than repeating it. Optional items do not block launch. Receiving a proposal does not turn replies on. Confirming a launch with missing checks does not complete those checks.

The Home launch card shows connected lines that are not answering, with each line’s reason and an authorized fix link. Its waiting list stays after launch until your team replies, takes over, assigns the conversation or closes its current ticket. Reply to waiting customers ([count]) opens the exact waiting population in the Inbox, with a counted filter; Clear removes it. The reply link is shown only for a nonempty waiting list and people allowed to reply. The card cannot collapse while customers wait. Going live answers new messages, not every earlier chat. Answers your team already gave the bot to pass on can resume when the relevant switch turns on; other blockers still apply. See line status and launch controls.

Google Calendar is recommended before launch only when booking is in your plan. It never blocks launch. Connecting the account is the first step; finish by reviewing your real meeting types, their durations and the calendar that offers them. The unchanged starting 30-minute type does not finish booking setup. Without a connected calendar, the bot collects requests for you to confirm rather than booking a free time. Once connected, an active calendar offering a bookable meeting type can allow bookings, including the starting type, even while this setup reminder stays open. Check the offered types and hours before turning on replies.

Going live does not necessarily finish setup. Home keeps a short progress entry while the checklist is open. What’s left in the banner also keeps selected follow-through, such as connecting a calendar, after the main checklist closes. An area you did not select is not added. Follow the direct link, use Ask the Coach, or choose Later when available.

The same panel distinguishes Alerts when customers are waiting from who receives handoffs outside the app. A working waiting-customer alert does not prove handoffs can reach anyone. A handoff row can point to a team channel, notification routing or your personal alert settings, depending on what needs attention. Conversation-dependent routing is shown as conditional, not as a completed check.

If a connected business has no resolved phone country, an authorized person can choose it here; it is used to read customers’ local phone numbers. Other rows link to Coach suggestions you can open and imported items still awaiting your review. Opening these rows never applies a suggestion, approves imported items or turns on automatic replies.

  1. Open the step to see what is missing.
  2. Check that your latest change saved, or finish any review still waiting for you.
  3. Choose Open in the Coach if the step needs your decision or you do not know what to do next.

If setup cannot load, use Retry. If it still fails, contact support. If your permissions only allow viewing launch status, you may see Launch status instead of the editable checklist; ask the workspace owner to continue setup.
